A group is where you share programs and invite users to access them. If a program's Curator is also an Admin or an Agent, they can invite users directly from Gnowbe Web.
Follow these steps to get your learners started:
- Log in to Gnowbe Web. Ensure you are in the specific workspace where the group lives. You can easily change your workspace in the top left-hand corner of the screen.
Note: You need to create a group and share your program with it before inviting users. If you have not done so yet, learn how here.
- Switch from Learner Mode to Creator Mode.
- Click on Curated By Me.
- Search for and open the program you want your learners to access. You can open the program from any group, including your Sandbox.
- Click the Publish button.
- Find the group you want to grant users access to and click Invite.
- You will be presented with three user invitation options. Choose the method that best fits your needs based on the breakdown below.
Option 1: Add Email
This method allows you to invite individual users to join the group via email. It is perfect for smaller cohorts or adding learners on the fly.
- Type the email address of the user you want to invite and click Invite. An email invitation will be automatically sent to their inbox.
- A success message will appear to confirm your invitation has been sent.
Option 2: Upload CSV
Mass-invite users by uploading a CSV file containing your learners' emails. This is the ideal invitation method if you have a large volume of learners to add. Gnowbe supports a maximum of 5,000 users per single CSV upload.
- Download the sample CSV file provided on the screen.
- Prepare your data by filling out the user's Email (mandatory), First Name (optional), Last Name (optional), and Employee ID (optional).
- Save your finalized CSV file and upload it to Gnowbe. Click Send Invites, and Gnowbe will instantly process the list and send invitation emails to your users.
- A success message will appear to confirm that your import is being processed.
Option 3: Share Link
This option generates a direct link that you can copy and share with your users.
⚠️ Security Warning: The invitation link method is not the most secure way to invite users. Anyone who gets hold of the link can join the group and access its programs.
Please avoid using this method if your group contains confidential or sensitive information!
- Choose your link type: You can select between sharing a program link or a group link.
In both cases, the user will be added to the group. The only difference is what they see first:
- Program Link: The user will be prompted to log in or create an account, and will then be taken directly into the specific program.
- Group Link: The user will be prompted to log in or create an account, and will then be given the option to open any program in the group.
- Program Link: The user will be prompted to log in or create an account, and will then be taken directly into the specific program.
- Choose your sharing method: You can copy the plain text link, share it directly to Facebook or LinkedIn, or generate a custom QR code for your learners to scan.
