At its core, sharing a program on Gnowbe involves three simple steps:
- Creating a user group in your workspace
- Sharing the program with that group
- Inviting users to the group so they can access the program
Before we dive into the step-by-step instructions, it helps to understand how the Gnowbe Dashboard is structured and the various administrative roles involved. This ensures you know exactly what level of access you have to manage your learners.

Scenario 1: I am a Curator AND an Admin of the workspace

Scenario 1: I am a Curator AND an Admin of the workspace
In this scenario, holding both titles makes you a one-stop shop! Because you have full administrative rights alongside your authoring capabilities, you don't have to wait on anyone else to get your content live. You can publish, manage settings, and share your program directly with your chosen User Groups, all on your own!
- Log in to Gnowbe Web. Ensure you are in the specific Creator workspace where you want to share the program. You can easily change your workspace in the top left-hand corner of the screen.
- Switch from Learner Mode to Creator Mode.
- Click on Curated By Me.
- Search for and open the program you want to launch.
- Click the Publish button.
- Click Create Group if a user group hasn't been created yet.
- Give your new group a name, and click Create Group.
- Your newly created group will be automatically selected. If you want to share this program with any other existing groups at the same time, simply select them from the list as well.
- Tailor the learning experience by setting up your timeline preferences. Once your settings are locked in, click Distribute to Groups.
- Available Until: Set a hard expiration date for access.
- Available For: Specify a set number of days a learner has access after joining.

Due Date: Give your learners a clear deadline to complete the program.
- A success message will pop up confirming your program has been distributed. Now, click Invite to start adding your learners' email addresses and welcome them into the program!
- Choose from one of three user invitation methods to give learners access.
- Add Email (Individual invites: Enter a single email address to invite one learner at a time.
- Upload CSV Group invites: Upload a CSV file to add a large batch of learners simultaneously.

Share Link: Copy and share your direct program link with your audience.
- Click Publish again anytime in the future when you want to invite more learners or remove your program from a group.
- Additionally, you can make your program available to other Admins or Agents, giving them permission to share your program with their own groups.

Scenario 2: I am ONLY a Curator for the workspace
In this scenario, your main focus is moving your program out of your private sandbox by making it "available" within your workspace. Once that is done, you will pass the baton to your system Admin. They will take it from there—jumping into the Gnowbe Dashboard, locating your finished program, and officially sharing it with the correct User Groups.
- Log in to Gnowbe Web. Ensure you are in the specific Creator workspace where you want to share the program. You can easily change your workspace in the top left-hand corner of the screen.
- Switch from Learner Mode to Creator Mode.
- Click on Curated By Me.
- Search for and open the program you want to launch.
- Click the Publish button.
- Toggle on Program Availability for the workspace. This allows other Admins and Agents in your workspace to see and share your program with their groups on Gnowbe Dashboard.
- Admins and Agents can now proceed to share the program with their groups on Gnowbe Dashboard. Learn how here.
