Congratulations! 🎉
Your programs are live, and your users have officially started their learning journey. But as an Admin or Manager, your job doesn't end on launch day. In fact, one of the most powerful aspects of Gnowbe is the visibility and control you get after deployment!
Let’s explore your analytics dashboard, track key metrics, and use those insights to support your learners and refine your content.
Excluding Creators From Your Analytics ✅
Before you dive into the numbers, remember you can exclude your Admins, Managers, and Creators from your analytics.
Internal team members are often added as learners to a group to help facilitate the experience, but their activity can skew your results. Removing their data ensures you see clean, accurate analytics reflecting only your actual learners.

Choose Your Analytics Perspective 🔎
Your dashboard is packed with a wealth of data, and you can easily slice and dice it to view your deployment from multiple angles. Depending on exactly what you want to measure, you can view your analytics from four distinct perspectives:
-
Workspace Level: For an overarching view of your entire organization's learning activity.
-
Group Level: To see how specific cohorts, departments, or teams are performing.
-
Program Level: To track the success, engagement, and completion rates of a specific training module across different groups.
- Individual Learner Level: To zoom all the way in and see exactly how a single person is progressing through their learning journey.
Additionally, all this data can be exported into a CSV file for further analysis outside of the platform.

Review High-Level Health Metrics 📊
As you dive into the data, we recommend starting with a bird's-eye view from the General tab. This broad perspective lets you measure the overall health of your deployment against the goals you set at the start.
Whether you are exploring metrics at the workspace or group level, here's what you can track:
-
General Metrics
- Registered Users: Individuals who have successfully created their Gnowbe account.
-
Started Users: Learners who have officially begun their journey by completing at least one action within a program.
-
Engagement Metrics
- Graduation Rate: Measures how many learners have reached your % designated graduation threshold and officially finished the entire program.
-
Completion Rate: Measures the percentage of individual actions (like watching a video or answering a poll) your learners have finished.
-
User Activity / Workspace Activity
- Monitor engagement levels by tracking diverse metrics—such as active user counts, average time spent, etc.—at both the workspace and group levels.
- Are people logging in consistently, or was there just a huge spike on launch day followed by silence?
Track Granular Progress 🎯
Once you understand the big picture, you can zoom in. Since every program within a group has its own dedicated learner analytics page, you can easily dive in and see exactly what is happening at the individual level.
This level of detail tells you not just if people are learning, but where they are getting stuck.
-
Group Engagement
- Track how your group of learners is doing as a whole across a specific program.
- You can also identify your Top 10 Influencers—the champions who are sparking discussions and engaging the most frequently on the group board!

-
Individual Engagement
- Drill down to track exactly how individual learners are progressing through a program.
- You can easily check their current completion rates, see if they have been logging in, pinpoint if they are stuck on a certain session, review their assessment scores, and more!
-
Assessment Analytics
- Don't just look at your learners' final score; look at the item analysis. You can see a breakdown of every multiple-choice question.
- For example, if 80% of your group is picking the same wrong answer on Question 4, you know there is a specific knowledge gap you need to address.

-
Average Star Ratings
- This serves as your immediate pulse check on learner satisfaction and pre/post training evaluation.
- Throughout their learning experience, learners can leave a 1-to-5 star rating based on the specific survey questions you ask, giving you real-time feedback on how the content is resonating.

-
Review Learner Responses (Study Data)
- You can review every single response your learners submit as they progress through their learning journey. This is qualitative gold!
- It shows you if they are truly grasping the concepts and applying them to real-world scenarios.

-
Comprehensive Learner Profiles
- Separately, you can access an individual learner's profile page to get the complete picture of a specific user.
- This gives you a holistic view of their data across all their groups and programs, along with their overall Skills Performance Index.
Driving Completion Through Messaging and Nudges 📧
Data is only valuable if you act on it. When you are tracking this granular progress and notice that a few learners have stalled out on Session 3, you don't have to just sit back and watch them miss their deadlines.
Gnowbe’s built-in messaging features are designed for exactly this type of intervention.
-
The 1-on-1 Nudge
- If you notice a specific individual falling behind, you can send them a direct message right through the platform.
- This automatically triggers a push notification on their phone or an email to their inbox.
- 👉 Learn the different ways a Curator can message users.
- Alternatively, you can always choose to follow up with them outside of the platform, through your usual internal channels.
-
Messaging your Workspace or Group
- If the entire "Cohort A" group is moving more slowly than expected, you can send a broadcast message to everyone at once.
- 👉 Learn how to send push or email notifications to learners via the Dashboard.
- You can send your messages to specific individuals or all participants at either the workspace or group level.
-
Tone Matters
- Keep your nudges encouraging!
- A quick message like, "Hey team, you're halfway there! Jump back in for just 5 minutes today to finish up Session 3," goes a long way toward driving completion without making learners feel micromanaged.

Create a Feedback Loop 🔁
Finally, the analytics dashboard isn't just for grading your learners—it is for grading your content. The data tells a powerful, objective story about the effectiveness of your microlearning programs.
-
Identify Drop-off Points: If you notice a massive drop in engagement right around Session 4, open that session up. Is it too text-heavy? Is the video link broken? Is the content suddenly much harder?
-
Fix Bad Questions: Remember that assessment analytics feature? If everyone is failing a specific quiz question, it usually means the question is confusing or the previous material didn't explain it well—it rarely means the learners are just failing.
- Export and Brief Your Curators: Use the Export to CSV function to pull these reports and share them with your Curators. Brief them on which programs need refining, which quizzes need rewriting, and where learners are showing high interest so they know exactly what new training to develop next.
By intentionally measuring, nudging, and iterating, you transform the Gnowbe platform from a "fire and forget" training tool into a dynamic, constantly improving learning ecosystem!
