The Big Picture: Sharing with User Groups
In Gnowbe, programs are shared with User Groups in your workspace rather than individual users.
Think of a User Group as a digital classroom (e.g., "2026 New Hires" or "Marketing Team"). When you share a program with a group, it appears in the Gnowbe Library of everyone inside that group.
Know Your Role: Curator vs. Admin
How you actually go about sharing your program depends entirely on the specific permissions attached to your Gnowbe account. In Gnowbe, creating content and distributing content are two distinct powers. Let’s figure out which hat you are wearing!

Scenario A: You are a Curator AND an Admin
If you hold both titles, you are a one-stop shop! Not only do you build the content, but you also manage the sharing of content with your learners.
In this scenario, you don't have to wait on anyone else. You can share your program directly with your chosen group(s).

Scenario B: You are Only a Curator
If you're only assigned as a Curator, your superpower is creating amazing learning experiences. However, you don't hold the keys to the company's user database.
In this scenario, your job is to finalize the program and move it out of your private Sandbox. You will publish the program by making it "available" within your organization's broader Gnowbe environment.
Once it is available, you will pass the baton to your system Admin. They will jump into the Gnowbe Dashboard, locate your finished program, and officially share it with the correct group(s).
