One of the coolest things about Gnowbe is its flexibility. Both our web and mobile platforms have the same authoring capabilities, meaning you have two fully functional ways to build your programs based purely on your preference:

Yes, you can build a complete program right from your phone. It’s just as powerful as the web version and perfect for on-the-go edits—like recording quick videos or fixing typos while away from your desk.
💡 Pro-Tip: Most Curators use a hybrid approach. They build the core structure and text on Gnowbe Web, and then use the Gnowbe App to preview the experience and capture quick media.
Understanding Workspaces
To create Gnowbe programs, ensure that you are in a Creator Workspace.
Think of a workspace as your digital office space. It is a secure, dedicated environment where your organization’s programs, analytics, and user data live.
Workspaces are divided into three categories:

Sandbox Workspace
- Whenever you create a program, it starts here in your Sandbox workspace before you make it live for user groups.
- This is where you will find all the programs you have editing rights to—meaning any programs you created yourself or were invited to co-create.

Creator Workspaces
- A Creator Workspace is where you create programs and access your own learning content.
- A workspace appears here if you hold a Creator role in a paid organization or use your personal free-tier workspace.
- Missing your organization? If your team has a paid subscription but you don't see it listed here, reach out to your Administrator to assign you a Creator role.

- A workspace shows up here if you have been added only to complete learning programs.
Make Sure You Are in the Right Place!
Your active workspace is listed in the top-left corner of the screen. Always double-check that you are inside your designated Creator Workspace before you start building!
The Gnowbe Sandbox: Your Private Playground
Every time you create a new program, it is born directly into your Sandbox workspace.
Think of the Sandbox as a private, risk-free drafting space. Only you and your fellow Creators can see it, giving you the freedom to edit, test Actions, and rearrange Sessions. Your program stays here until you are ready to deploy it and make it "live" for your learners.
Previewing Your Program: Creator and Learner Mode
Don't lose track of the learner experience while building. When inside a program, you can seamlessly toggle between two modes using the switch located at the top right corner of your screen:
Creator Mode: The backend editor where you build your program
Learner Mode: A live preview of what your learners will see and experience.
Switching back and forth lets you instantly preview your work—test a quiz, check video formatting, or ensure text fits a mobile screen. It guarantees zero surprises when you finally launch!
Inviting Co-Creators
Gnowbe allows you to invite other users to co-create your program right alongside you. All you have to do is send them an invitation via email, and they’ll instantly get edit access to your program. It’s a fantastic way to collaborate with teammates and share the curation workload.
A few quick things to keep in mind before you team up:
- This co-creation feature is exclusively available for our paid subscribers. If you’re on a paid plan, you’re good to go!
- Gnowbe doesn’t have a built-in edit log or a "version history" tracker just yet. Because you can’t see exactly who changed what (or when), we highly recommend aligning with your co-creators before making massive edits to each other's work!

Instant Updates: Real-Time Edits ⚡️
Gone are the days of re-exporting entire courses to fix a single typo or update a policy. In Gnowbe, edits happen in real time.
Simply make your edits in Creator mode, and the platform auto-saves. Boom. The content updates instantly for everyone—even learners taking the program right at that second!
