Downgrading a subscription refers to any of the following scenarios:
- Moving from a higher-tiered plan to a lower-tiered plan (e,g., from Pro to Starter plan)
- Reducing the number of Creator licenses for your subscription
- Shortening the billing cycle for your subscription (e.g., from Annual to Monthly)
Kindly note that a 30-day notice is required for any downgrades. Once successful, your downgrade will take effect at the beginning of your next billing cycle. Please feel free to email success@gnowbe.com if you have any questions.
How to downgrade
Only the billing admin can downgrade the subscription
- Log into Gnowbe Dashboard and click Settings.
- Click Billing Details, then Plan and Payment Details.
- Click Upgrade Plan.
- Select your downgraded plan to proceed.
- For Starter Plan users: Your downgrade can be performed directly through the platform.
- Select your new plan and click Continue to proceed.
- Select your new plan and click Continue to proceed.
- For Pro and Enterprise Plan users: Your downgrade cannot be performed directly through the platform.
- Select your new plan and click Contact Sales to proceed.
- Fill out and submit the Downgrade Inquiry form.
- Our team will get in touch with you shortly to assist with your downgrade!
- Select your new plan and click Contact Sales to proceed.
- For Starter Plan users: Your downgrade can be performed directly through the platform.

How to prepare your workspace for downgrade
Subscribers are required to adjust their current usage limits to align with the limits outlined in their downgrade before our team can initiate the process. Instructions for managing usage under different downgrade scenarios can be found below.

➡ Scenario 1: Moving from a higher-tiered plan to a lower-tiered plan
For example, you intend to move from a Pro to a Starter plan.
You must ensure that your current workspace usage fits within the limits of the Starter plan (e.g., Admin will need to ensure that the workspace has, at maximum, 100 learners, 10 groups, and 10 programs) before we can proceed with the downgrade.
In this case, the Admin will need to, from the workspace:
- Remove excess learners
- Remove excess groups
- Remove excess programs ⤵
- If the program's curator is also an Admin/Agent in the workspace, get the curator to unshare the program from all groups in your workspace on Gnowbe Web.
- Suppose the program's curator is not an Admin/Agent in the workspace. In that case, you will need to first un-distribute the program from all groups on Gnowbe Dashboard and then get the program curator to unshare the program on Gnowbe Web by toggling off Program Availability.

Before removing any excess usage from your workspace, we recommend exporting any data and analytics you may need for future reference. This will ensure that you have a copy of the information before it is removed. By exporting the data, you can preserve valuable insights and reference them as needed in the future.

➡ Scenario 2: Reducing the number of Creator licenses for your subscription
For example, you intend to reduce your Creator licenses from 5 to 3.
You must remove excess Creators and ensure that your workspace has only 3 Creators before we can proceed with the downgrade.
In this case, the Admin will need to, from the workspace:

To ensure smooth program management in a downgraded subscription, follow the below steps when removing Creators who have created programs for your workspace.
Get the departing Creator(s) to:
- Add any remaining Creator(s) as co-curator(s) to the programs that they have created.
- Transfer the program's ownership to your workspace.
- Once the above two steps are done, the remaining Creator(s) can proceed to remove the departing Creators as curators from the programs.
This helps to ensure that the remaining Creators in your downgraded subscription can continue to manage the workspace's programs effectively.
➡ Scenario 3: Shortening your billing cycle
You will not need to manage any usage for your current subscription.
FAQ
What happens if my subscription expires before I can downgrade?
You will be automatically directed to an active workspace when you log into Gnowbe Dashboard. You can still navigate to your expired workspace (learn how here), but you won't be able to click around.
